Fee collection, ledgers and assets — double-entry clean

The finance side of the platform: define what students owe and take payments, run the non-fee ledger, track fixed assets, and post every transaction into a clean double-entry general ledger.

Fee Management

Define fee structures, then take payments against a live per-student ledger for the active year.

  • Configure fee groups and per-level / per-class amounts and discounts
  • Payment history: net payable, paid, balance and arrears per student
  • Record a payment and issue or re-print a receipt
  • Line-by-line fee breakdown per student
  • Headline cards: Total Fees, Total Paid, Total Outstanding

Fee Report

A reporting and export view over the same payment data, aimed at bursars pulling numbers rather than taking payments.

  • Filter by class, academic year and free-text search
  • Advanced multi-field search
  • Export the filtered view to Excel with labelled summary rows
  • Summary cards reflect the whole filtered set, not just the page on screen

Income & Expenses

The non-fee general ledger — grants, donations, rent, utilities, salaries — as a tabbed workspace.

  • Income and Expenses tabs: add / edit / delete, or raise a Change Request
  • Income / Expense Types with optional ledger account mapping
  • Vendors with contact and bank details, plus per-vendor spend
  • Analytics: expense-by-vendor and income / expense-by-type with a bar/pie toggle

Payment Accounts

Maps each payment method to the ledger account code it posts into, so recording a payment produces correct double-entry.

  • View the method → account-code mapping
  • Set the code for Cash, Bank and Mobile Money
  • Save every row in one action
  • Blank mappings fall back to a default account

Asset Register

Fixed-asset accounting: track what the school owns, depreciate it over time, and produce the schedules an auditor needs.

  • Add, edit, dispose or write off assets with category, cost and date
  • Asset categories with depreciation method and rate
  • Depreciation and capital-allowance panels
  • Reports: register, summary by category, movement, disposals, fully depreciated

Ledger

The double-entry general ledger every other finance action posts into — an inspect and reconcile view.

  • Browse journal lines for the branch
  • Filter by account, date range and source module
  • Drill from a ledger line back to the transaction that created it
  • Running balances per account
